We’ve built our own software for running a service business. It’s called Odin, and it brings projects, tickets, retainers, sales, time, invoicing and reporting together in one fast, modern platform.
Odin is a professional services automation (PSA) platform designed and developed in-house at Thrive. We run our own studio on it every day, from the first client enquiry through to the paid invoice in Xero. Now we’re making it available to other agencies, IT companies and consultancies.
Why we built Odin
A web studio has a lot of moving parts. Client requests arrive by email, support work draws down on retainers, projects run against budgets, and every hour needs to end up on the right invoice. When that information is spread across separate tools and spreadsheets, things slip through the gaps.
We wanted one system where every piece of work knows about everything else. Time logged on a task should roll up to the project, the retainer, the invoice and the report without anyone re-entering it. Odin is the result, shaped by real studio work rather than a product roadmap written in a vacuum.
Everything in Odin sits on one connected data model:
- Projects: plan work, assign tasks and track budgets against the client.
- Tickets and shared inbox: client emails land in one inbox, already linked to the client, and can become tickets in a click.
- Retainers: track usage, remaining hours, carry-forward and overages in real time.
- Sales: manage opportunities from lead through to won work.
- Time tracking: one-key timers for each job and a weekly timesheet for each person.
- Invoicing: turn completed work, time and retainer periods into branded invoices, with two-way Xero sync.
- Reporting: revenue, utilisation, workload and pipeline, current as of right now.
What makes Odin different
1Everything is connected
Odin’s modules share the same clients, the same work and the same numbers. Open a client and their projects, tickets, retainers, time and invoices are all there together. You don’t have to cross-check one tool against another to find out where a job is up to.
2It’s built for speed
Odin was built from the ground up as a modern application. Navigation is near instant, global search covers every record, and keyboard shortcuts and quick actions mean fewer clicks for the jobs your team does dozens of times a day.
3Time tracking that keeps up
Start a timer from anywhere in Odin with one key and log it against the task, project or client. Timers keep running when you close the tab, and switching jobs pauses the last timer automatically. See more on the Odin time tracking page.
4Nothing is left unbilled
Finished work with no invoice waits on one page until someone bills it. Invoices go to Xero when they’re sent, and payments made in Xero come back to Odin, usually within a minute. Odin never deletes or voids anything in Xero.
5AI that works with your live data
AI is built into the records your team already works in. Odin can pull contact details out of a new enquiry and draft ticket and project descriptions from the original email thread. Its assistant, Mimir, answers questions like “What work is overdue?” or “Who owes us money?” from live data, with links to the records behind each answer.
Built for agencies, IT companies and consultancies
Odin suits service businesses that sell their time and expertise. That includes web and digital agencies, IT and managed service providers, consultancies, accountants, architecture and design studios, and creative production teams.
Because we built it for our own agency first, Odin also includes the operational tools we needed day to day:
- Hosting: every site on RunCloud and ServerPilot, matched to the retainer that bills it.
- Emailer: broadcasts to filtered contact lists, with suppressions and delivery tracking.
- Sweep: finds incomplete or inconsistent data before it costs you money.
- History: a full audit log of every change, filtered by client, record, person, field and date.
Roles control what each person sees, so a contractor sees only the work assigned to them while owners see the whole business. Odin also connects with the tools you already use, including Xero, Google, Microsoft 365 and Slack.
